CONCIS-E Gen 2.0 (Alpha)
Dear Subscribers,
Thank you for your continued support and engagement with the CONCIS-E project. We are excited to share the second development update for the academic advising chatbot.
Since our last release in April, this version has undergone significant enhancements to better serve the needs of UBC Sauder School of Business undergraduate students. CONCIS-E is now more equipped to handle queries and provide academic advice with improved functionality, delivering a seamless experience.
However, please note that the chatbot's knowledge base is currently limited to the following key resources:
MyBCom: mybcom.sauder.ubc.ca – Comprehensive information for UBC Sauder students, including academic policies, program requirements, and co-op details.
Sauder Main Website: sauder.ubc.ca – General information regarding the Sauder School of Business, including admissions, programs, and faculty.
Workday Tutorial: workday.students.ubc.ca – Resources on how to navigate Workday, UBC's system for managing student records and course registration.
Known Issues Identified
As we continue to enhance the CONCIS-E chatbot, we’ve identified a few areas where improvements are needed. Below are the current known issues:
a) Inability to Distinguish Program Requirements by Year
The chatbot currently struggles to accurately differentiate between program requirements for students based on their year of entry or specific programs.
Specific Problem: Students enrolled in different years and programs (e.g., BCom, BUCS, Sauder-HKU) may receive incorrect or outdated information.
b) Cross-Program Confusion
The chatbot occasionally retrieves documents from other programs within Sauder, even when students request information specific to General BCom. For instance, BUCS program requirements have been presented when asking for General BCom requirements.
c) Lack of Knowledge on Non-Sauder Courses
Currently, the chatbot's database is limited to Sauder-specific courses and lacks comprehensive knowledge of courses offered by other UBC faculties. As a result, it is unable to provide guidance for students looking to plan electives or courses outside the Sauder curriculum.
d) 6-Credit Course Distribution
When advising on course planning, the chatbot may not effectively distribute 6-credit courses across two terms. This can lead to imbalanced schedules that may not align with a student’s academic goals or requirements.
We are continuously working to improve the CONCIS-E chatbot, addressing the issues outlined above to ensure more accurate academic advising for students at Sauder.
Request for Additional Resources
As we work to improve the CONCIS-E chatbot and ensure it provides accurate and comprehensive academic advising, we are seeking additional resources to enhance its capabilities. Specifically, we would greatly benefit from access to the following materials:
All Course Syllabi: Comprehensive syllabi for all courses offered at Sauder, which would help us provide more detailed course advice and information.
Materials on Course Pre-Requisites: Any documents or guides that can help us better understand and incorporate accurate course pre-requisite information into the chatbot’s knowledge base.
